POLICY ON THE USE OF GENERATIVE ARTIFICIAL INTELLIGENCE (GenAI)
AGRITEPA: Jurnal Ilmu dan Teknologi Pertanian
Introduction
AGRITEPA: Jurnal Ilmu dan Teknologi Pertanian is committed to maintaining the highest standards of academic integrity, originality, transparency, accountability, and ethical conduct in scholarly publishing.
The journal recognises that Generative Artificial Intelligence (GenAI) and AI-assisted technologies may support academic writing, language editing, literature organisation, data analysis, and scientific communication.
Nevertheless, such technologies must be used responsibly and must not replace human intellectual contributions, independent scientific judgement, or authors' accountability for their research.
This policy establishes the ethical requirements governing the use of GenAI by authors, editors, and reviewers throughout manuscript preparation, submission, peer review, revision, and publication.
1. General Principles
1.1 Transparency
Authors must clearly disclose any substantive use of GenAI in manuscript preparation, research analysis, data visualisation, or content development.
The disclosure must identify the AI tool, its provider, the purpose and extent of its use, and the procedures undertaken to verify the resulting content.
1.2 Accountability
Authors remain fully responsible for the accuracy, validity, originality, and integrity of all submitted materials, including content developed or modified with AI assistance.
The use of AI does not transfer responsibility for research methods, findings, references, interpretations, or conclusions from human authors to technological systems.
1.3 Originality
All manuscripts must represent original scholarly contributions by their human authors.
AI-assisted content must not reproduce, misappropriate, or obscure the intellectual contributions of other researchers.
Authors must ensure that all sources are properly acknowledged and that their manuscripts comply with the journal's plagiarism and originality requirements.
1.4 Scientific Integrity
AI must not be used to fabricate, falsify, manipulate, or misrepresent research data, experimental findings, statistical analyses, images, or scientific conclusions.
All reported findings must be supported by authentic evidence and appropriate, verifiable research procedures.
1.5 Authorship
AI systems, chatbots, large language models, and other AI-assisted technologies cannot be recognised as authors or co-authors.
Authorship is restricted to individuals who meet the requirements for substantive intellectual contribution and can accept responsibility for the published work.
2. Permitted Uses of GenAI
Subject to appropriate disclosure, verification, and human oversight, the journal permits AI assistance for the following purposes:
Language editing and proofreading: Improving spelling, grammar, sentence structure, clarity, readability, and consistency without altering scientific meaning.
Translation: Assisting with the translation of manuscripts, provided that the authors verify terminology, accuracy, and contextual meaning.
Manuscript organisation: Supporting the development of outlines, section structures, and the logical presentation of scientific arguments.
Drafting assistance: Supporting the preliminary drafting or linguistic refinement of selected manuscript sections, provided that the authors critically evaluate, revise, and substantiate the resulting content.
Literature organisation and summarisation: Assisting with the organisation and preliminary summarisation of published literature, provided that original sources and bibliographic details are independently verified.
Data analysis and programming assistance: Supporting statistical programming, code development, and analytical workflows, provided that methods are reproducible, results are independently validated, and relevant AI involvement is reported in the Methods section.
Conceptual illustrations and visualisation: Assisting with non-empirical illustrations or scientific diagrams, provided that their use is disclosed and that the resulting materials do not misrepresent research evidence.
3. Prohibited Uses of GenAI
The journal strictly prohibits the use of GenAI to:
-
Fabricate, falsify, or manipulate research data, observations, or experimental results.
-
Generate fictitious statistical findings, survey responses, interviews, or laboratory measurements.
-
Invent references, citations, Digital Object Identifiers (DOIs), or bibliographic information.
-
Conceal plagiarism or improperly reproduce the intellectual property of others.
-
Produce an entire manuscript without substantive human intellectual involvement and verification.
-
Manipulate research photographs, microscopy images, laboratory evidence, or other empirical records in a misleading manner.
-
Misrepresent research methods, findings, interpretations, or conclusions.
-
Fabricate ethical approvals, participant consent, or evidence of research activities.
-
Disclose confidential manuscripts, personal data, or protected research information to unauthorised AI services.
-
Conceal substantive AI involvement in the preparation, analysis, or presentation of research findings.
4. Mandatory Declaration of AI Use
Authors who use GenAI must include a declaration under the heading:
DECLARATION OF GENERATIVE AI AND AI-ASSISTED TECHNOLOGIES
The declaration must identify the AI tool and provider, describe the purpose and extent of its use, identify the relevant manuscript sections, and explain the verification undertaken by the authors.
The declaration should appear before the References section, unless otherwise specified in the journal's manuscript template.
Where AI has contributed to data collection, research methodology, statistical analysis, or figure generation, the relevant procedures must also be described in the Methods section.
Authors who have not used GenAI must provide an appropriate declaration confirming non-use.
5. Responsibilities of Editors and Reviewers
Editors and reviewers must maintain the confidentiality of all unpublished manuscripts and related editorial communications.
They must not upload confidential manuscript content, research data, reviewer reports, or identifiable author information to external AI systems where confidentiality cannot be assured, unless the necessary authorisation and safeguards are in place.
AI must not replace independent editorial judgement, scientific evaluation, or peer-review responsibilities.
Any authorised use of AI during editorial assessment or peer review must comply with the journal's confidentiality, data protection, transparency, and publication ethics requirements.
Editors remain responsible for editorial decisions, while reviewers remain accountable for the accuracy and quality of their assessments.
6. Originality Screening and Investigation
The journal may use similarity-checking software, editorial assessment, reference verification, and methodological evaluation to identify potential breaches of publication ethics.
Textual similarity scores do not, by themselves, establish plagiarism. Likewise, AI-detection scores must not be treated as conclusive evidence of misconduct.
Suspected breaches must be assessed using verifiable evidence and a fair editorial procedure, including an opportunity for authors to provide an explanation.
7. Consequences of Policy Violations
Depending on the nature and severity of the violation, the journal may take the following actions:
-
Request clarification or additional disclosure.
-
Require manuscript corrections or further verification.
-
Suspend editorial processing pending investigation.
-
Reject manuscripts involving substantiated serious ethical violations.
-
Publish corrections or editorial notices when appropriate.
-
Retract published articles where serious misconduct undermines the reliability of the scholarly record.
-
Notify relevant institutions or authorities when justified by the evidence.
Any restrictions on future submissions must be proportionate, documented, and subject to a fair editorial procedure.
8. Implementation through Open Journal Systems (OJS)
The journal implements this policy by:
-
Publishing the policy within its Publication Ethics and Author Guidelines.
-
Including AI disclosure requirements in the submission checklist.
-
Incorporating a dedicated AI declaration section into the manuscript template.
-
Reviewing AI declarations during initial editorial screening.
-
Evaluating AI-assisted research methods and analyses where applicable.
-
Protecting manuscript confidentiality throughout peer review.
-
Documenting relevant editorial assessments and decisions.
-
Reviewing and updating the policy periodically.
9. Policy Review and Updates
This policy will be periodically reviewed by the Editorial Board of AGRITEPA: Jurnal Ilmu dan Teknologi Pertanian in response to developments in AI technologies, scholarly publishing standards, research ethics, and data protection requirements.
Any amendments will be communicated through the journal's official website.
