A Laravel-Based Digital Archive Management Application for the Population and Civil Registration Office

Abstract

The development of information technology has encouraged government institutions to undergo digital transformation in document management to improve the quality of public services. One of the most common problems is the manual archive management process, which results in lengthy document retrieval, a high risk of archive loss, and reduced employee work efficiency. This study aims to design and develop a Laravel-based digital archive management application for the Department of Population and Civil Registration (Disdukcapil) of Rejang Lebong Regency and to produce a system that is easy for staff to understand and use in storing and retrieving population administration documents. This research employed a qualitative approach, with data collected through observation, interviews, and documentation studies. The system was developed using the Prototype development method, enabling user requirements to be refined through an iterative evaluation process. The application was built using the Laravel framework with a MySQL database and provides features such as user authentication, a dashboard, archive management for application forms (blangko), Family Cards (Kartu Keluarga), Identity Cards (KTP), and document search functionality. The implementation results indicate that the application improves the efficiency of archive storage, accelerates document retrieval, reduces the risk of losing physical archives, and assists staff in managing documents in a more organized and structured manner. Black Box testing demonstrated that all major system functions operated in accordance with user requirements. The novelty of this research lies in the development of a digital archive management application specifically designed to support population administration archive management at the Department of Population and Civil Registration of Rejang Lebong Regency using the Laravel framework and a Prototype approach that focuses on user needs..
